Buyers should approve all label, barcode and carton-marking information before production or bulk printing begins. Clear and consistent information helps reduce shipment confusion and documentation discrepancies.

RETAIL & PRODUCT INFORMATION

Product and Retail Labels

  • Depending on the product and destination market, labels may include brand name, product name and code, material or fibre composition, dimensions and care instructions.
  • Other information may include country of origin, importer details, warnings, barcode and batch reference.
  • Labelling rules vary by country and product category. The buyer should provide the supplier with the exact approved wording.

IDENTIFICATION

Barcodes

  • The number encoded in a retail barcode is commonly a Global Trade Item Number (GTIN).
  • Each separately traded SKU may require its own identifier.
  • Confirm who supplies the barcode number, which SKU it belongs to, the required format, size and placement.
  • Confirm that the barcode scans correctly on the final packaging.
  • Do not copy a barcode or use an unauthorised number.

OUTER CARTON INFORMATION

Master-Carton Marks

  • Outer cartons may show the buyer or consignee reference, purchase-order number and product code.
  • Include quantity, carton number, gross and net weight, carton dimensions and country of origin where required.
  • Destination and appropriate handling symbols may also be included.
  • Use marks such as “Fragile,” “Keep Dry” or “This Side Up” only where appropriate.

PREVENT DOCUMENTATION ERRORS

Keep Information Consistent

  • Product description, SKU, quantities, weights and carton details should match the purchase order.
  • Check consistency across the commercial invoice, packing list, product labels and carton marks.
  • Inconsistent information can cause warehouse errors, customs questions and shipment delays.
